Executive Assistant, Information Technology

Position Overview:

As the Executive Assistant, Information Technology, you will provide administration and support to the Information Technology Department. You will collaborate with staff members (at all levels) in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, resourceful, and efficient. 

Reporting to our CIO, you will enjoy and thrive upon the challenges of supporting a diverse IT team. With keen attention to detail, professionalism, and confidentiality you will support administrative and project initiatives. You will facilitate the preparation of background materials for meetings and events for an IT department of more than 50 staff members within a global $2.3 billion publicly traded company with over 200 full service restaurants and more than 40,000 total staff members. 

Here?s what you will get to do:
 
Administrative Services:
  • Support the CIO and IT Executives with calendar management, travel, and reimbursements.
  • Coordinate and plan a variety of complex meetings that require interaction with both internal and external executives. 
  • Maintain up-to-date contact lists for all staff and vendors.
  • Manage task lists and time allocation based on established priorities and goals.
  • Create, review, and edit presentations and documents for internal and external use, as required.
  • Craft departmental communications such as memos, announcements, and agendas.
  • Support the development, communication, and implementation of department processes.
  • Provide note taking services for critical meetings.
  • Perform general clerical duties as needed, to include but not limited to: photocopying, faxing, mailing, filing, etc. 
Event Coordination: 
  • Provide planning and support for all IT department meetings and special events. Work closely with teammates to execute. 
  • Manage event and conference related budgets.
  • Develop surveys using standard survey tool, consolidate and analyze results, and distribute reports. 
  • Space planning and move coordination. 
Special Projects:
  • Conduct research on a variety of topics for the purposes of providing information, insights, and suggestions to IT management and other applicable parties. 
  • Identify and implement new processes to improve the effectiveness of the IT department. 
  • Perform other related duties as required and assigned.

Qualifications


  • 5+ years? experience working in an executive support role in an office environment. 
  • Able to identify and solve problems, think clearly and analytically. 
  • Able to give, receive, and organize information, both verbal and written.
  • Able to prioritize own workload, manage self and tasks.
  • Strong computer knowledge including MS Office (Excel, Word and PowerPoint) and Outlook; able to learn to use new software packages easily.
  • Experience in the creation of complex Excel worksheets, PowerPoint presentations, and Visio diagrams.
  • Exceptional organizational and planning skills with acute attention to detail.
  • Pleasant and professional demeanor, in-person and over the telephone.
  • Commitment to excellence in service, performance, and execution. 
  • Bachelor?s Degree in Business, Communications, or related field preferred.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
