Duties:
Provide administrative support to the SVP in an efficient, timely, and effective manner Making travel arrangements for ministry and/or ministry related speaking engagementsMaintaining calendars, contact lists, and scheduling/coordination of meetingsOrganization of phone calls, correspondence, and other mail to include drafting letters and answering or managing emailsPreparing and tracking expense reportsProcessing and delivering interoffice mailCreating agendas, preparing reports and summaries as needed, and taking minutes at meetings as needed/requested and distributing accordinglyEditing speeches and presentations as neededPreparation of PowerPoint presentations as neededPossess the ability to speak on behalf of the SVP when necessary and attend meetings in his/her absence, as well as reporting back with action itemsAnticipating the needs of the SVP prior to meetings:
providing background information on visitors, details/agenda for meeting, and setting up any necessary equipmentHosting meetings as requested, both on and offsiteOrder, purchase, and track office supplies, pantry and JAF resources, as neededAct as liaison to IDC guestsCoordinate invitations and visits, prepare for meetings, plan and orchestrate luncheonsFollow-up calls and correspondence, and other needs as appropriate and requested to meet the needs of guests Works closely with the Programs, Manager of Special Events, Manager of Major Donors, and others in the Development Department to facilitate correspondence and foster relationships between stakeholders, especially donorsPreparation, hosting and follow-up of recurring strategic meetings, conferences, and summits for IM, including but not limited to:
Planning and preparing for all aspects leading up to, and during, the meetingInterfacing with staff, guests, and partners on scheduling and travel arrangementsPreparing electronic and paper copies of necessary reports, goals, objectives, etc.
Planning and arranging of meals and refreshments for meetingsRecording minutes, as well as compilation of minutes and related information for distributionAssisting guests during their visits to the IDCMaintaining files, records, and minutes in an organized fashionCoordinating with Marketing Department for ongoing IM marketing needsWorks closely with other Executive Assistants on ministry projects and/or events, providing assistance and oversight as neededProvide coverage for other Executive Assistants when they are out of officeProvide support to Directors that report directly to the SVP, or other Directors as requested, which could include calendaring, expense reports, and travel arrangingProvide training to other Executive Assistants as neededMonitor SVP's email communications, especially while SVP is traveling or out of officeProcessing of Joni and Friends agreements and internal forms as neededReview departmental timecards and time off requests for approval, communicate with SVP and note SVP calendar accordinglyOther projects and activities as needed, including interfacing and assisting with other departments to meet the needs and strategic objectives of Joni and FriendsOther duties and projects as assigned by SVP to support department and organizational needs
Qualifications:
Must possess a vibrant personal relationship with Jesus Christ and agree with the Joni and Friends statement of faithDesire to serve in a growing and dynamic Christian service ministry5 years of executive assistant level experience preferredBachelor's Degree preferred or relevant experienceEffective and diplomatic communication skills both verbal and written and the ability to effectively organize and prioritize a wide range of daily tasks with varied deadlines are necessaryMust be detail oriented, committed to accuracy, a team player and self-starter who is flexible and able to work independentlyMust be able to multi-task in serving the SVP and work cross-functionally with other departmentsMust have a strong sense of confidentialitySets a high standard of leadership in maintaining a sense of tidiness/orderliness in the workplaceCapable of working well in a team environment, and committed to professionalism and respect in interactions with co-workers and people served by the ministry Must possess the ability to effectively organize and prioritize a wide range of daily tasks with varied deadlinesStrong general computer skills are necessary along with a competent, working knowledge of Windows, Microsoft Excel, Microsoft Word, Microsoft Outlook, Microsoft PowerPoint and the InternetUnderstanding of Christian ministry and specifically Joni and Friends is desirableCompensation for this position is $66,560 - $69,000 per year.
This is an exempt position.
This position, located at our Agoura Hills office is a hybrid position, working Mon/Tue/Thu in the office and Wed/Fri remote.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
